Welcome to the School of Data Science's Art Usage Policy page. As a school committed to fostering creativity, innovation, and inclusivity, we recognize the importance of art in shaping meaningful spaces. This policy outlines the guidelines and processes for the display, submission, and management of art within the School.

Designated Spaces for Art

Approved Spaces: Art and artifacts (hereafter referred to as "art") may be displayed in specific, approved locations within the School of Data Science.

  • A list of approved spaces will be maintained and updated by the Art & Artifacts Committee.
  • Spaces include reinforced walls suitable for art installation.
  • Walls with data or electrical access (e.g., Ethernet ports, Wi-Fi access points) may have restrictions on the type or size of art displayed.

Photos of designated spaces will be provided.


 

Art Approval Process

Approval Criteria: The committee will evaluate art based on:

  • Relevance to the School's mission
  • Diversity of representation
  • Aesthetic quality
  • Safety considerations

Approval Authority: Final approval will be granted by the Dean or a designated representative following committee recommendations.

Definition of Space

  • Personal Space: Spaces as defined by the School of Data Science for individual use.
  • Designated Public Space: Areas such as public notice boards.
  • Undesignated Public Space: Public areas overseen and monitored by the Art & Artifacts Committee.

Definition of Art

  • Art Types: The policy covers traditional art forms, mixed media, digital art, data visualizations, performances, and other mediums.

  • Content Guidelines: All art must align with the University’s and School’s values, including Statements on Free Expression and Free Inquiry and Free Speech. 

Permanent Collection and Archive

The School is committed to growing its permanent collection by purchasing one or more pieces annually.

  • Selection will follow the Art Approval Process.
  • A digital archive will document all art in the permanent collection.

Duration of Display

  • Standard Display Duration: Approved artwork may be displayed for up to one academic or calendar year.
  • Extension Requests: Extensions can be submitted for review and approval by the Art & Artifacts Committee.
  • Temporary Exhibits: Short-term displays, such as student projects or special exhibitions, may be approved for periods ranging from one week to three months.

Submission and Request Guidelines

Artists interested in displaying their work may submit an Art Interest Form. Submissions will be reviewed on a semester basis by the Committee.

Art Placement Criteria

The Art & Artifacts Committee will determine the placement of approved art based on designated spaces and suitability, including:

  • Feasibility of installation
  • Risk of damage
  • Building security
  • Larger or delicate pieces will receive additional consideration to ensure proper handling.

Unapproved Art

Any art installed without approval will be removed by the Project Associate for Facilities or UVA Facilities Management. The School will address protest art in accordance with University guidelines.

Liability and Insurance

  • Insurance Coverage: All approved art displayed on University property is protected by Risk Management, including coverage for theft, damage, and natural disasters.
  • Artist Liability: Artists may be required to sign a waiver acknowledging the University’s liability limits. For high-value art, artists may opt to carry additional insurance.
  • Damage Responsibility: The School will cover repair costs for damage occurring during approved installation or removal processes.

Designated Public Notice Space

The Committee will identify and maintain public notice boards throughout the building. Posting guidelines include:

  • Content must be UVA-affiliated or sponsored.
  • All notices must include a date.

Boards will be cleared regularly by the Committee to ensure space availability.

Feedback and Grievance

We value feedback and aim for transparency in art selection and display.

  • Art Feedback Form: Provide feedback directly to the Art & Artifacts Committee by emailing datascience@virginia.edu or requesting to meet in person at a committee meeting.
  • Grievance Process: Complete the Art Grievance Form which will be reviewed by and responded to by the Committee.
