Key Academic Policies & Petitions

The School of Data Science is committed to applying academic policies, outlined in the Undergraduate Record, fairly and equitably. Students may petition a policy when they believe it has been misapplied or when there are extenuating circumstances. All petitions must be initiated by the student. Students should consult with the Student Success Advisor for more information.

Within two business days from submission, you will receive notification via email of the date of your petition review. Petitions are not granted automatically. Be sure to provide documentation to establish the circumstances that warrant a petition. You will receive a decision via email within two business days of the Academic Policy Committee’s review.

Here are some common petition requests. 

Credit Overload

A full-time undergraduate course load is 12 credits.  An average of 15 graded credits per semester is recommended for a student to graduate within eight semesters of study.  Students must petition to register for fewer than 12 credits or more than 17 credits each semester.  

Instructions for submission: 

  1. Complete a four-year plan in Stellic.  
  2. Meet with the Student Success Advisor to discuss your plan. 
  3. All F-1 visa students must pursue a full-time course of study unless authorized by the International Studies Office. Consult with the International Studies Office for authorization.  
  4. Students receiving financial aid should consult with Student Financial Services to understand financial aid implications.  
  5. Prepare a justification for the petition (250-word maximum). 
  6. Submit the petition via Docusign. Petition must be submitted by 11:59pm (ET) on the course add deadline of the current term

Appeal of Exclusion from Class(es)

Per attendance regulations in the Undergraduate Record, a student who is making no real progress in a class, or whose behavior is detracting from the class, may be excluded from that course by the Program Director with a grade of W or F. Students have five calendar days following written notification of this exclusion in which to appeal by petition. Until the final disposition of the appeal, the student is considered enrolled in the class.

  2. Submit the petition via Docusign

Request for More Time Toward Degree (Permission to Enroll in a 9th Semester)

All work for the Bachelor of Science must be completed within eight semesters of matriculation. A student may enroll in a ninth semester to complete a second major or minor.  

Instructions for submission:

  1. Complete a four-year plan in Stellic.
  2. Meet with the Student Success Advisor to discuss your plan.
  3. Prepare a justification for the petition (250-word maximum).
  4. Submit the petition via Docusign.

Schedule a Data Science (DS) Final Exam at a Different Time

For courses outside of Data Science, you must request permission from the school that administers the course(s). 

Final exams are given during a designated period of time at the end of each semester. Final exams can only be given at the times listed on the UREG website published each semester. Faculty members are not authorized to change the scheduled times of their final exams. Such changes may be authorized only by petition, and then only for compelling reasons. The criteria for requesting a final exam postponement are: 

  1. Three exams scheduled on two consecutive days 
  2. Two exams scheduled at the same time
  3. Serious and extenuating other circumstances

Instructions for submission:

  1. Include recommendation from instructor on record.
  2. Prepare a justification for the petition (250-word maximum).
  3. Submit the petition via Docusign.

Retroactive Medical Withdrawal

In very unusual medical circumstances, documented by a health professional, a student who did not withdraw during the semester has one semester in which to petition for a retroactive medical withdrawal.  If approved, all grades convert to W’s and the student is obliged to be absent for a full semester before resuming full-time study. In addition, students who return after a medical withdrawal must be cleared by Student Health and Wellness.  

Instructions for submission:

  1. Documentation from a health professional detailing the date of the onset of symptoms that prohibited you from successfully completing the course(s)
  2. Attach supporting documentation, which can include relevant email chains, support letters on official letterhead from UVA faculty or staff, communication from CAPS, Care & Support Services, Student Health & Wellness, etc.   
  3. Prepare a justification for the petition (250-word maximum). 
  4. Submit the petition via Docusign

Appeal of Suspension

Students are subject to suspension after incurring academic warning in two consecutive semesters (fall or spring).  

Instructions for submission:

  1. Explain circumstances that affected academic performance (250-word maximum). 
  2. Explain actions and resources that will be used to promote academic recovery (250-word maximum). 
  3. Attach supporting documentation, which can include relevant email chains, support letters on official letterhead from UVA faculty or staff, communication from CAPS, Care & Support Services, Student Health & Wellness, etc.   
  4. Submit the petition via Docusign

Appeal of Grade(s)

Grade appeals should only relate to the process of how a final grade was computed. A disagreement over the quality of the student’s work is not sufficient grounds for an appeal.  Students may submit a petition up to 30 days after the final exam of the course.  

Instructions for submission:

  1. Attach the course syllabus. 
  2. Attach all documentation relevant to the appeal at the time of submission. 
  3. Explanation of what grade the student believes they should have earned and justification (250-word maximum). 
  4. Submit the petition via Docusign

Reinstatement (After Suspension or Withdrawal)

Students who wish to return to the University after a suspension, a withdrawal, or an unapproved absence from the University must be formally readmitted. Readmission is not guaranteed. 

  1. A student who voluntarily withdraws from the program or otherwise ceases to enroll for a period of up to two academic years and wishes to resume enrollment must petition for reinstatement at least 60 days in advance of the next registration period.  
  2. A student who has been absent for longer than two years must petition to return. 

Instructions for submission:

  1. Students may file for readmission through the Student Information System (SIS). The Returning to the University eform is due March 1 for the fall semester and October 1 for the spring semester. 
  2. For readmission following a medical withdrawal, students should also follow the steps outlined by Student Health and Wellness.  
  3. Encouraged to meet with the Student Success Advisor
  4. Attach supporting documentation, which can include relevant email chains, support letters on official letterhead from UVA faculty or staff, communication from CAPS, Care & Support Services, Student Health & Wellness, etc.  
  5. Prepare a justification for reinstatement (250-word maximum).
  6. Submit the petition via Docusign

Other

For situations not otherwise directly addressed in University policy, here are instructions for submission:

  1. Explanation of situation the student would like to petition and desired outcome (250-word maximum)
  2. Attach supporting documentation, which can include relevant email chains, support letters on official letterhead from UVA faculty or staff, communication from CAPS, Care & Support Services, Student Health & Wellness, etc.

Transfer & Study Abroad Credit

Transfer Credit Request

Students wishing to transfer credit from another institution must receive approval prior to enrolling in a course. Review associated policies and submit this Docusign form to receive approval.  

Study Abroad

The School of Data Science encourages its students to pursue education abroad outside of the Fall or Spring terms, as the B.S. in Data Science curriculum sequences courses intentionally each semester. Consult the International Studies Office for opportunities to study abroad in January Term, Spring Break, and Summer.  

Students wishing to transfer credit from an institution abroad must receive approval prior to enrolling in a course. Review associated policies and submit this Docusign form to receive approval.
